MailCat for Freelancers: Client Replies without Accidental Commitments
A friendly client reply should not quietly approve extra work. Separate scope, schedule, and next steps before you draft.

One project email, four different decisions
Fictional client email
Hi Alex, can you include two social graphics with the homepage revisions, keep delivery Thursday, use the new copy attached, and leave the fee unchanged?
The writing is only one part of this task. The freelancer needs to check scope, capacity, the supplied material, and the fee before answering. MailCat can help organize the reply; it cannot approve a fee, inspect an attachment, or decide whether you have enough time.
Make your project boundaries explicit
Facts for this example: the agreement covers homepage revisions only. The social graphics are extra. The new copy has not been reviewed. The effect on schedule and fee is unconfirmed.
| Client request | Your decision |
|---|---|
| Add social graphics | Offer a separate estimate; do not start yet. |
| Keep Thursday | Check revised scope before confirming. |
| Use attached copy | Review it yourself first. |
| Keep the fee | Do not confirm a price for unestimated extra work. |
Complete original example reply
Hi Sam,
The homepage revisions are covered by our current scope. The two social graphics would be additional work, so I can prepare a separate estimate before we decide whether to add them.
I have not reviewed the attached copy yet. Once I have checked it and confirmed the deliverables, I can explain any effect on the fee and Thursday delivery. I am not confirming either for the additional work at this stage.
Would you like an estimate for the two graphics alongside the homepage revisions?
Thanks,
Alex
This reply is useful because it tells the client what is agreed, what remains open, and what they can decide next. It is a communication example, not legal or contract advice.
Turn those choices into a reviewed Gmail draft
In desktop Gmail, click Reply and check MailCat's detected points against the message. Choose suggested or custom answers for your actual decisions. Answer or skip every detected point, and use “Anything else to include?” for missing requests or instructions.
Compile Reply produces an editable preview. Check that “for approval” and other conditions remain intact. Edit directly or use Update draft, then explicitly Insert reply. Inspect the final Gmail draft and send it yourself. Relevant content is processed through the backend and AI providers; review privacy details and client confidentiality obligations first.
Where it helps—and where it does not
Consider a structured assistant when several requests arrive together, feedback mixes decisions with questions, or you want to review conditions before polishing wording. A straightforward receipt acknowledgment may need no assistant.
MailCat is not a project-management app, contract reviewer, calendar checker, invoice reader, or automatic sender. It does not inspect attached copy or files. The freelancer remains responsible for estimates, capacity, permissions, and the final message.
Try it on the work you actually do
MailCat works in Gmail on desktop Chrome, not Outlook or mobile Gmail. The seven-day no-card trial starts at account creation and has no automatic charge. Continued access costs US$9.99/month plus applicable taxes, with fair-use and service-availability safeguards. Judge usefulness on your own reviewed replies rather than assuming a fixed time saving.
